What Is an Estimate?
An estimate is a price quote you send to a potential client before any work begins. The client reviews it in their portal and either approves or declines it. Once approved, you can convert it into a booking and eventually an invoice.
Creating an Estimate
- Go to Estimates → New Estimate.
- Select the client (or create one inline).
- Add line items — services, quantities, prices.
- Set an expiry date (how long the quote is valid).
- Add any notes or terms.
- Click Send to Client. They receive an email with a link to their portal.
What Happens When a Client Approves
- You get notified instantly (bell + email).
- The estimate status changes to Approved.
- You can then convert it to a booking or directly to an invoice from the estimate page.
Contracts
For recurring clients or larger jobs, use Contracts to lock in the scope of work, pricing, and service schedule with a digital signature.
Creating a Contract
- Go to Contracts → New Contract.
- Select the client.
- Write or paste the contract terms (rich text editor supported).
- Send it to the client for signature.
The Client Signs
The client receives an email with a link to their portal. They read the contract and type their name as a digital signature. You're notified when signed, and both parties get a copy.
Estimate → Contract → Invoice Flow
- Send Estimate → client approves
- Generate Contract → client signs
- Perform the work → create Booking
- Complete the job → send Invoice → client pays
📝 Always send an estimate for jobs over $200. It sets clear expectations, reduces disputes, and makes you look professional.
