How Payroll Works in HoodServe

HoodServe is not a full payroll processor (like Gusto or ADP) — it is a payroll data tracker. It records hours, tips, and referral bonuses so you have accurate numbers to bring to your payroll process, whether you pay manually, via bank transfer, or through an external payroll service.

Viewing Employee Hours

Go to Timesheets. Filter by employee and date range to see total hours worked. Each entry shows clock-in, clock-out, and total hours. You can add or edit entries for employees who forgot to clock in.

Tips

When a client pays an invoice, they see a tip picker before completing payment (10%, 15%, 20%, custom, or no tip). The tip is captured and attributed to the employee assigned to the invoice (set the Assigned Employee field on the invoice).

To see tip data:

  • Sales page — aggregated tip totals by period
  • Employee dashboard — each employee sees their own tip earnings
  • Tips Report (Sales → Tips Report) — full breakdown by employee and date

Referral Bonuses in Payroll

When you mark an employee referral as Rewarded (from the Employee Referrals page), HoodServe automatically adds a payroll bonus record for that employee. Go to PayrollBonuses to see all pending bonuses. Once you pay them out, mark them as paid.

Processing Payroll

  1. Go to Payroll at the end of your pay period.
  2. Review each employee's hours, hourly rate, tips, and bonuses.
  3. Calculate the total owed (HoodServe shows the totals — you process the actual payment externally).
  4. Mark the payroll period as processed.
  5. Mark referral bonuses as paid once disbursed.
💰 Showing employees their tip totals in real time (visible on their dashboard) is a proven motivator. Transparency drives better service.
